Building a grant filing checklist that matches the form set
Grant programs publish form sets that change between cycles. Treating last year’s folder as this year’s template is a frequent cause of incomplete financial applications.
Start from the current PDF, not memory
Download the live packet. Print or export the table of required annexes. Cross out any optional items that do not apply, and note why, so a later reviewer does not assume they were forgotten.
Name files the way the form names them
If the form says “Annex B — Prior year revenue detail,” do not label the file “sales summary final.” Matching names reduces desk returns during administrative screening, before any financial audit of applications begins.
Separate narrative from evidence
Put story pages in the narrative section and keep ledgers, bank extracts, and payroll summaries in evidence annexes. Mixing them makes it harder for both your team and the agency clerk to confirm completeness.
Leave room for corrections
Build the checklist with a column for owner, due date, and status. When we run a document completeness pass, that column becomes the punch list. Without it, corrections scatter across email threads.
A checklist that mirrors the form set will not guarantee award success, but it prevents avoidable administrative rejection of otherwise sound figures.
